The essentials

  1. What is the real seated capacity? “1,000 capacity” might mean standing. Ask how many guests fit seated at round tables, with space for the dance floor and the high table.
  2. Is my date available, and how long can you hold it? Popular halls get booked months ahead for weekends and December.
  3. What exactly is included in the price? Chairs, tables, covers, a generator, cleaning, air conditioning, a changing room? Get it in writing.
  4. Are there hidden fees? Ask about service charges, security deposits, overtime per hour, and fees for bringing in outside caterers or decorators.

Power, comfort and safety

  1. What’s the power backup? Ask about the generator size, who pays for diesel, and how quickly it switches on if grid power goes off.
  2. Is the air conditioning enough for a full hall? Visit at the same time of day as your event if you can.
  3. What security is provided? Find out whether the venue supplies guards, or whether you need to book your own bouncers.
  4. How many cars can park, and is there overflow parking? Traffic and parking can ruin guests’ moods before they even arrive.

Rules and logistics

  1. What time can vendors arrive, and what time must we leave? Decorators often need hours to set up the night before.
  2. Do you allow outside vendors? Some venues only allow their own caterer or decorator.
  3. What are the noise and music rules? This matters especially for estate and residential venues.
  4. What’s the payment schedule and refund policy? Know what happens if you need to change your date.

Indoor, outdoor or both?

Outdoor gardens and beach venues look stunning in photos, but plan for rain, heat and evening mosquitoes. If you choose outdoors, ask about canopies, fans and a covered backup space.

Frequently asked questions

How far ahead should I book an event venue in Lagos? For weekend weddings and anything in December, book 6 to 12 months ahead. Smaller events on weekdays can often be booked 1 to 3 months ahead.

How big a venue do I need for 300 guests? Ask for a hall with a seated capacity of at least 350 at round tables, so there is still room for the high table, the dance floor, the DJ and the food service area.

Is the generator usually included in the venue price? Not always. Some venues include the generator but charge separately for diesel, and others charge for both. Ask who pays for fuel and get it in writing.

Can I bring my own caterer and decorator? Many venues allow it, but some only allow their in-house vendors or charge an outside-vendor fee. Confirm this before you pay a deposit.

How much deposit do venues ask for? It varies, but many venues ask for part payment to hold your date. On Kovio, you can secure a venue with a 50% down payment and pay the balance later.
